- Usage data: Log files, device information, browser type, IP address, and how you interact with the Service.
- Referral and practice management data: Information related to referrals, provider details, and non-clinical practice information transmitted through Sikka's integration.
- Patient-related information: To the extent enabled by your settings and PMS integration, we may process patient identifiers and limited clinical context necessary to support referral workflows, in compliance with applicable law.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service.
- Facilitate referral workflows, communication, and integration with your practice management system.
- Improve and optimize the Service, including developing new features and understanding usage patterns.
- Provide customer support and respond to inquiries.
- Send administrative messages, such as service updates, security notifications, or policy changes.
- Comply with legal, regulatory, and contractual obligations.
We may aggregate and de-identify data so that it can no longer be associated with any identifiable individual or practice and use such data for analytics, benchmarking, and product improvement.
3. Legal Basis and Compliance
- We process information based on your consent, our contractual obligations to you, and our legitimate interests in providing and improving the Service.
- When handling patient-related data, we aim to support your compliance with applicable privacy and security regulations. You remain responsible for obtaining necessary consents and for your own regulatory obligations.
4. Sharing and Disclosure
We may share information with:
- Service providers and subprocessors who assist us with hosting, data storage, analytics, support, and email or notification delivery, under appropriate confidentiality and security obligations.
- Sikka and integrated systems as necessary to enable and maintain the connection with your practice management software.
- Professional advisors or authorities as required by law, regulation, or to protect our rights, property, or safety or that of others.
- In business transfers, such as a merger, acquisition, or sale of assets, where information may be transferred as part of the transaction, subject to appropriate protections.
We do not sell your personal information.
5. Data Security
- We implement reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, or destruction.
- No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we continually work to enhance our safeguards.
6. Data Retention
- We retain information for as long as necessary to provide the Service and fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law.
- When information is no longer needed, we will securely delete, de-identify, or anonymize it where feasible.
7. Your Choices and Rights
Depending on your location, you may have certain rights regarding your information, such as the right to access, correct, or delete certain data.
- Requests can be submitted using the contact details in the Contact Us section.
- Because much of the data originates from your practice management system, you may also need to work with your PMS or Sikka to update or correct certain records.
8. Children's Privacy
Vector Referral is intended for use by dental professionals and is not directed to children. We do not knowingly collect personal information directly from children.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above. Your continued use of the Service after changes become effective signifies your acceptance of the updated Policy.
